Countertop, Handheld or Mobile: Picking a Card Reader
Countertop, handheld or mobile — which card reader do you need?
Pick by where the payment happens, not by price. If the customer always comes to a fixed counter, a countertop terminal on a wired connection is the most reliable option and the cheapest to run. If payment happens at a table, a van or a market stall, you need the reader to travel, and that changes both the hardware and the connectivity.
Most businesses that regret their choice bought for the counter and then started trading somewhere else.
What suits each setting?
- Countertop — retail and quick service with a fixed till. Wired ethernet, most reliable.
- Handheld over wifi — table service inside one building. Pay-at-table cuts the walk to the terminal.
- Handheld over cellular — contractors, mobile services, anywhere without a network you control.
- Phone-attached reader — market stalls and low volume. Cheapest entry, weakest for throughput.
- Unattended or kiosk — self-serve, vending and car parks.
Does pay-at-table actually help?
It shortens the close of each table by a couple of minutes and removes the card leaving the customer, which some guests care about more than others. The practical benefit on a busy night is that servers stop queueing at a single terminal.
What about tap-to-pay on a phone?
Workable for low volume and genuinely useful as a backup, but it ties your payments to a phone battery and a consumer handset. As a primary method for anything doing real volume it is fragile.
How much does connectivity matter?
More than the reader model. A wifi handheld in a building with thick walls will drop mid-transaction and no hardware upgrade fixes that. Survey the signal where payments actually happen before choosing, especially in the older brick buildings common in Troy and downtown Albany.
Should readers be bought or rented?
Buy where you can. Rental is rarely cancellable and frequently outlives the equipment. A countertop terminal bought outright pays for itself inside a year against typical rental.
What to do next
Walk through where a customer physically stands when they pay, for each way you sell. If that is more than one place, you need more than one kind of reader, and it is cheaper to plan that now than to add it later.
